FSUSN Conversion Announcement

Earlier this year, Florida State University policy OP-H-12 was released to “provide for the safeguarding and elimination of the use of social security number as a primary identifier on campus.” The Controller’s Office is in the process of converting the Departmental Ledger to use the FSU Student Number (FSUSN) as a primary identifier for Cashiering transactions and eliminating the use of Lockbox ID. In July 2009, Student Financial Services (SFS) began populating FSUSN in the Group ID field for all applicable deposits. This field is already included on the OMNI and OBI Departmental Detail Ledgers and has been added to all public queries that currently show the Lockbox ID field.

Beginning December 1, 2009, Departmental Ledgers run from OBI will no longer include Lockbox ID. OMNI Departmental Ledgers run for Fiscal Year 2010, Period 5 (11/30/2009) on, will also not show this field. Additionally, all departmental (FSU_DPT) queries that currently show Lockbox ID will be modified to exclude this data after November 30, 2009. Employees still needing access to the Lockbox ID field for reconciliation or other legitimate reasons must submit an online role request for a new OMNI security role, FSU_SECURITY_QUERY_SFS_SECURE. In addition, staff seeking access to Lockbox ID data must comply with the exemption request provisions detailed in Section H of the new Primary Identifier Policy.
